How to protect a shared file link

A good file link should be easy to open for the right person and harder to misuse by everyone else.

When a file is shared, the link can travel beyond the first recipient. Drive gives you several controls to reduce that risk while keeping the experience simple.

Use expiration for temporary access

An expiration date is the first protection to use when a file should not stay available forever. Shorter expiration is useful for drafts, client previews, temporary documents and time-limited releases.

Add a password when the link may be forwarded

Password protection adds a second step before access. Use it when the recipient is known, when the link is sent over email or chat, or when the content should not be accessible by anyone who happens to receive the URL.

Use download limits for sensitive delivery

Download limits help control how many times a file can be downloaded. For one-time delivery, use a stricter limit. For teams or clients, allow enough downloads for legitimate access.

Keep the private manage link private

The public Smart Room link is for recipients. The private manage link is for the uploader only. It can change room settings, update notes and manage files, so it should never be included in a public message.
