How to send large files securely

Use Smart Share Rooms to send large files with expiration, optional password protection, previews and reliable resumable uploads.

Drive is designed for sending large files without asking the recipient to create an account. The goal is simple: upload the file, generate a Smart Share Room, then share one controlled link with the people who need access.

1. Choose the file or folder content

You can upload a single file or multiple files. For client work, use a clear file name before uploading so the recipient understands what they are opening. For very large videos or archives, keep the browser tab open until the upload finishes.

2. Set the link options

Before uploading, choose an expiration date and decide whether the link needs a password. If you are sharing previews, you can keep photo and video preview enabled. If the file is private or should only be downloaded, disable media preview before upload.

ExpirationUse shorter expiration for temporary delivery.
PasswordUseful when a link might be forwarded.
Custom linkCreates a readable Smart Room URL.
Sender noteAdds context for the recipient.

3. Share the Smart Room, not a storage link

The recipient should receive the public Smart Room link. Do not send the private manage link. The manage link is only for the uploader and can be used to change settings or update files later.

Quick checklist

  • Use a clear file name.
  • Choose expiration before upload.
  • Add a password for sensitive delivery.
  • Keep the private manage link safe.
  • Use the Smart Room link for recipients.
